We provide services such as program management, construction management and owner’s representation to our clients around the globe\. **Job Summary** The End Market Executive Assistant will be responsible for the coordination of activities \(operations and planning\) and ensuring timely flow of information to and from the Executive Office\. S/he handles details of a highly confidential and critical nature, and must function efficiently and effectively in a fast\-paced professional environment\. S/he will have a proven ability to independently manage multiple tasks and projects with competing priorities and deadlines, screen and prioritise communications and opportunities from external and internal sources, and organise and maintain administrative processes is essential to this position\. The ideal candidate will be dynamic, self\-driven, high\-energy, versatile, highly organised, be available during regular business hours, evenings and/or weekends, on occasion as needed to provide support and assistance to the Executives\. Some travel may be required\. Core Responsibilities + Executive Professional, right hand to the End Market Lead and Managers, responsible for managing their diaries, including keeping appointments and meetings on time or changing schedules when necessary + Assistance to management team including other End Market Leads when required + Salesforce Coordinator for End Market + Ability to anticipate the Executives’ needs, act accordingly, and proactively bring together appropriate people and resources to support the Executives in addressing issues\. + Managing internal and external contacts for the Executives, proactively understanding who they are, which priority contacts are, and keeping track of periodic communication needed for priority contacts\. + Managing the Executives’ travel arrangements and proactively coordinate the pre\-planning of trips, including arranging appropriate travel and accommodations, agendas, necessary contacts, marketing materials, and other necessary preparations\. + Ability to manage, coordinates, and executes various projects involving personnel both in and out of the office\. + Represent the Executives in a professional and congenial manner in person, in telephone conversations, and in written correspondence\. + Understanding organizational policies and procedures necessary to ensure appropriate decision\-making protocols are followed\. + Providing regular feedback/updates on the progress of assigned projects\. + Assisting the Executives in all tasks and functions as required\. This includes, but is not limited to, events, special projects, and meetings\. + Developing and maintaining a system that alerts to upcoming deadlines on incoming requests or events\. + Welcoming guests, visitors and clients by greeting them, in person or on the telephone; answering or directing inquiries\. + Handling confidential information in a professional and discreet manner\. + Processing and maintaining expenses for the Executives\. + Scheduling, coordinating, preparing agendas, attending meetings, taking appropriate minutes as requested, and coordinating follow up as directed\. + Helping the Executives manage output, workflow and office deadlines\. + Maintaining accurate records in an efficient manner\. Keeping working files and master files of all information/projects as requested\. + Must be proactive, able to independently resolve problems or conflicts\. + Ensuring that various administrative tasks are done in an effective and efficient manner, including copying, reviewing outside mail, drafting correspondence, screening phone calls when requested, and teleconferencing\. + Performing research when required\. + Daily Tender advisories review and distribution to relevant staff within the End Market\. **Personal attributes and skills required:** + Administrative Writing Skills, Reporting Skills, Supply Management, Scheduling, Microsoft Office Skills, Organisation, Time Management, Presentation Skills, Travel Logistics, Verbal and written Communication + People/Interpersonal Skills **Minimum Requirements** + Minimum of 10 years administrative experience; minimum of 5 years supporting executives\. + Must be available to work in both the Centurion and Sandton offices of AECOM\. + Must be able to travel up to 15\-25% of the time + Must be able to work overtime/ weekends if required \(i\.e\. retreats, evening functions, etc **Preferred Qualifications** + Minimum of a 3\-year diploma \(or equivalent\) in Administration or related field\. **What We Offer** AECOM is a place where you can put your innovative thinking and business skills into high gear and work alongside other highly intelligent and motivated people\.
