The responsibilities of this position include, but are not limited to: • Fleet Vehicle Coordination • Responsible for the reservations/coordination of use of 3 fleet trucks, plus boats, 4-wheelers and trailers • Responsible for ensuring that fleet vehicles are maintained on a regular basis • Copier Lease Coordination (project and overhead) • Work with IT (and/or project personnel, if needed) to identify copier needs • Coordinate with Canon Service Rep to determine/report problems with copier equipment • Bon Carre Security Coordination • Work with Bon Carre Security Office to issue security badges to new hires, and issue replacements as needed • Maintain a log of all active security badges • Deactivate security badges as needed, in the event of loss or termination • Perform yearly security badge audit • Provide URS photo identification to be used in conjunction with security badges • Janitorial/Maintenance Coordination • Serve as designated Help Desk coordinator for all facility issues • Report Maintenance or Janitorial issues to Bon Carre Maintenance Department, ensuring that issues are resolved in a timely manner • Assist Safety Manager in rectifying potential security and safety violations that occur within the office • Phone System Administrator • Maintenance of phone system, including issuing/swapping/changing of extensions as needed – in the case of new hires or moving of offices • Recording of primary office greetings as needed • Setup/initialization of voice mail boxes, resetting of passwords as needed • Order/replace desk phones as needed • Troubleshoot phone issues • Office Furniture Coordination • Coordinate any incidental office moves • Work with IT to ensure that any computer equipment is relocated • Swap telephone extensions • Provide necessary assistance – boxes, furniture moving, cubicle reconfiguration, etc. • Cell Phone/PDA Administration • Assist employees with determining need and completing cell phone requests • Coordinate replacement of faulty equipment • Review billing and ensure that phone lines are deactivated as needed • Troubleshooting and placing requests for service issues • Update & publish Office Maps and Phone Lists weekly • Keep an active inventory of supplies in the office • Coordinate with procurement on a biweekly schedule to order and replenish any and all office supplies With nearly 100,000 employees — including architects, engineers, designers, planners, scientists and management and construction services professionals — serving clients in more than 150 countries around the world following the acquisition of URS, AECOM is a premier, fully integrated infrastructure and support services firm.
