Job Description: The Receptionist provides the first impression of the URS office and is responsible for greeting and welcoming URS clients, visitors, employees and contractors to the Sydney and URS Australia head office.
Reporting to the Office Services Manager, this role involves working as part of the Sydney Office Services team to ensure smooth office operations and to assist all staff within a professional working environment.
Responsibilities include meeting room bookings, travel bookings and processing reimbursement claim/expenses, as and when required.
Responsibilities/Objectives
• Greets, identifies and directs visitors to the appropriate locations and advises the URS contact/host
• Arranges for escort of visitors and vendors, as appropriate
• Operates the telephone console to route incoming calls, place outgoing calls and takes messages as required
• Maintains visitors records, issues visitors passes and ensures visitors are aware of the URS Health, Safety & Environment Policy
• Maintains and updates information on the office directory, telephone extensions and office assignments
• Responsible for mail room functions of the office, processing the receipt and sending of postal and courier packages.
• Ensures that the reception counter is presentable – clean, tidy, safe, minimal clutter and not visible to the visitor
• Manages meeting rooms, facilities and catering bookings when required
• Ensures that the conference/meeting rooms are set-up, presentable, monitors room usage, and tidy’s up after room usage.
• Arranges staff travel bookings (flights, rental car, accommodation) for the office
• Processes senior staff and managers expense claims for reimbursement
• Other duties as directed by the Office Services Manager
