We pride ourselves on ensuring we deliver the best customer service possible to our people while building trust and relationships with all of our constituents\. **Job Summary** **The Team** The operations group of the Northern and Western Australia is based in Brisbane and consists of the Managing Director \(MD\), Regional Finance Manager, Human Resources Manager and Operations Director\. The workload for this team is varied and involves everything from marketing campaigns and events, a high level of internal communications to running internal change management programs – all this on top of leading a highly functioning business with more than 1000 staff **Role Summary:** AECOM is looking for an experienced, proactive and enthusiastic executive assistant with excellent Communication skills\. You will provide high level assistance to the Managing Director and support to all members of the operations group with the implementation of a variety of tasks and projects\. You will provide a solution focus and be proactive in your approach to tasks and duties\. You will gain a thorough understanding of the business and the key drivers for the overall business through building relationships with the NWA leadership team and the senior technical staff in the business\. **Minimum Requirements** **Key Responsibilities:** •Support senior regional corporate leaders as listed above\. As directed, provide support to North Western Australia Leadership Team and visiting ANZ/APAC/AECOM leaders •Build good rapport with the NWA Leadership Team, executive and regional admin support staff, members of Shared Services functions\. •Responsible for efficient diary management for the MD •Assist with management of email and correspondence for the MD •Book travel and arrange travel documents as required eg visas, currency •Co\-ordinating meetings and attending when required for minute taking •Research, prepare, co\-ordinate and disseminate information and reports as required •Ensure all reports / documents adhere to the corporate standards and templates •Manage events as required eg End of Year Party, Boardroom Lunches, Directors’ Circle •Manage weekly time\-sheets •Reconcile corporate credit card, complete and submit expenses •Screening telephone calls •Raise purchase orders and process invoices •Maintain membership information •Manage RFA requests •Manage completion of Health Checks comments required for monthly reporting •Process Encores for SQLD Shared Services •Arrange and contribute to the Group Management Assistants meetings •Organise Service Team Briefs as required **Preferred Qualifications** **Qualifications** •Strong administration background in a high paced demanding environment \(mandatory\); •Previous experience, at least 3 – 5 years in working within a close\-knit similar environment \(mandatory\) **Behavioural Attributes** •Ability to be discreet with sensitive and private information •Takes initiative in looking for additional work to contribute to the ongoing success of the team •Team player with the ability to work well within a team environment •Understand the importance of timeliness to internal and external clients •Demonstrates integrity and optimism •High level interpersonal and communication skills with the ability to communicate to all levels within the organisation •Demonstrated ability to work collaboratively with others both in person and remotely •Sets and achieves realistic goals whilst focussing on results •Takes accountability for outcomes •Champions the AECOM Values and Behaviours **What We Offer** AECOM is a place where you can put your innovative thinking and business skills into high gear and work alongside other highly intelligent and motivated people\.
