Position Description: Executive Secretaries provide secretarial and clerical support by relieving managers of basic administrative and office duties. Assignments may involve work of a confidential nature and require a basic knowledge of the policies, practices and procedures of the company, group and/or department. The successful candidate will support staff which includes preparing correspondence, maintaining records, assisting with day-to-day office activities including procurement, travel planning and coordination. Essential Responsibilities: 1. Assembles and analyzes information, prepares reports, agendas and memoranda. 2. Prepares answers to routine mail and inquiries. 3. Receives incoming telephone calls and handles inquiries, takes messages, and transfers calls to appropriate party. 4. Maintains files, keeps records, prepares schedules, makes travel arrangements, compiles reports, and processes documents of a routine nature. 5. Prepares and processes expense reports. 6. Prepares and proofreads correspondence, reports, and other material. 7. May take dictation and transcribe notes. 8. May plan layout of reports and statistical tables. 9. Typically uses common word processing and spreadsheet software packages. May use database, graphics, and desktop publishing office machines. 10. May perform special projects that pertain to departmental goals as directed by supervisor. 11. Under limited supervision, provides routine administrative support for a department or administrative unit. 12. Researches and obtains information for routine reports and special assignments. 13. Compiles and analyzes data, and prepares reports for action by superior. 14. Investigates assigned problems using established company or department policies and practices to determine method of research, data and information requirements and analysis techniques. 15. Work generally requires a broad working knowledge of departmental and company policies, programs, and product lines. 16. May provide guidance and work leadership to lower level clerical or secretarial staff. 17. Performs all other position related duties as assigned or requested.
