We provide services such as program management, construction management and owner’s representation to our clients around the globe\. **Job Summary** The Construction AdministrationDivision of AECOM is actively seeking a creative, highly talented Project Office Assistant for immediate employment\. Responsibilities for this position include but are not limited to: + Receiving, recording and profiling all incoming and outgoing correspondence and faxes using the Project Document Control database + Tracking Contractor submittals received from or returned to the Contractor and/or Consultant using the Project Document Control database + Preparing confidential and general correspondence for the \(Assistant\) Construction Site Manager and other construction staff + Coordinating the preparation and distribution of monthly progress reports + Preparing and distributing meeting minutes, Purchase Order Amendments, Contract Change Initiations and other technical correspondence + Coordinating and arranging meetings with Project staff and external agencies and ensuring all background information is provided to the \(Assistant\) Construction Site Manager + Processing of general and confidential correspondence, and various bi\-weekly and monthly reports as required + by the site office staff + Ensuring accuracy in spelling, grammar and content + Copying all correspondence and reports + Ensuring that attachments are correct + Distributing copies by electronic mail, fax, internal/external mail or courier + Logging and profiling all incoming and outgoing correspondence, reports, drawings and faxes + Logging all incoming submissions + Maintaining the SharePoint Submittal database updated on a daily basis showing items to be submitted and items submitted by General Contractor + Processing progress photo descriptions in a timely manner + Answering telephones and direct calls to appropriate field staff, and page when necessary + Collecting field staff overtime requests and forward to the appropriate personnel + Updating contract drawing stick files, contract drawings and specification books + Ordering stationery as required + Maintaining an up\-to\-date filing system of all of the above **Minimum Requirements** + Minimum 5 years of related experience + Experience in an office administration environment and familiarity with general office administration procedures + Excellent written and oral English language communication skills + Ability to multi\-task and manage competing priorities + Excellent computer skills including typical Microsoft Office applications \(Word, Excel, etc\.\) + Must be a self\-motivated team player **Preferred Qualifications** + Experience with Primavera CM12 software an asset + Experience with administration of construction contracts an asset **What We Offer** AECOM is a place where you can put your innovative thinking and business skills into high gear and work alongside other highly intelligent and motivated people\.
