**Job Summary** AECOM is actively seeking a creative, highly talented Senior Administrative Assistant for immediate employment for the San Francisco, CA office\. AECOM is proud to provide our employees with exciting, challenging projects\.
The responsibilities of this position include, but are not limited to, those listed below:
+ Support the Business Unit Leader, Operations Manager and other senior staff as needed
+ Manage and coordinate the schedules of the Business Unit Leader and Operations Manager including communicate timely updates of schedules, making scheduling decisions and notifying changes to their schedules
+ Manage and screen correspondence \(phone and email\) on a routine basis
+ Prepare and review expense reports per corporate policies and procedures including approving and routing automated expense report and administrative requests based upon established guidelines
+ Plan, organize and schedule travel arrangements using a corporate travel system for supported managers
+ Coordinate and communicate \(verbal and written\) effectively with Area Leadership, clients and others on behalf of supported managers including drafting and preparing a variety of written correspondence for internal and external clients
+ Utilize Oracle financial system to compile and report financial data on a routine basis
+ Analyze and extract key financial data and prepare standard financial reports for office leadership using Excel and/or Powerpoint or similar software depending on the situation
+ Plan, prepare and organize meetings for up to 25 attendees, including creating the agenda, sending invites and tracking responses and assuring delegated responsibilities were met
+ Track vacation requests submitted by Department Managers and other senior staff in the office and business unit
+ Compile and organize information from multiple sources addressing a variety of topics into usable formats and/or reports for distribution to local leadership
+ Collaborate across multiple business units, internal organizations and geographies in support of Buildings \+ Places leadership and functions such as IT, Accounting, HR, and Marketing
+ Understand operational priorities, assigned workload delegations and interaction across a large and diverse organization
**Minimum Requirements**
+ High School Diploma or equivalent
+ Minimum 5 years’ experience
+ Experience supporting senior executives for a large corporation
+ Expert level Microsoft Word, Excel, and PowerPoint skills
+ Must be detail oriented, accurate, articulate and have good time management abilities
+ Must be able to work efficiently in a fast\-paced, deadline oriented and dynamic environment
+ Strong verbal and written communication skills
+ Must be trustworthy and demonstrate ability to work with a high level of confidential information
**Preferred Qualifications**
+ In depth knowledge of Excel functions and familiarity with organizing and analyzing various types of data is strongly preferred
+ Bachelor’s Degree
