**About the Business Line** **Water**
We create comprehensive delivery solutions for water, wastewater and wet weather systems, desalination, water resources, water reuse, tunneling, and community infrastructure through traditional and alternative delivery services such as program management and design\-build\.
**Job Summary** The role of the Executive Assistant is to provide a range of project support and administrative services to the Business Line Managing Director \(BLMD\) and Group Director and perform confidential administrative functions for other senior members of staff and the Water \+ Urban Development business line\. This role requires a strong ability to work independently in a complex environment\. In addition, we require an organised individual who has the ability to prioritise and multi\-task with a forward thinking, proactive style\. You must be able to work under pressure and be results oriented\.
**Minimum Requirements** Key Responsibilities:
+ Provide efficient and effective administration support to the Business Line Managing Director \(BLMD\), Group Director and other senior staff
+ Brief BLMD and/or Group Director on emerging issues and attend to urgent enquiries in their absence
+ Assisting with preparation including formatting of weekly, monthly project reports, reports, minutes, deliverables for business line meetings and executive committee meetings
+ Extensive diary management – co\-ordinating and prioritising appointments, responding to invitations
+ Where appropriate action and responding to incoming email
+ Organise regular meetings, set up teleconference and video conferences
+ Co\-ordination and distribution of all agendas and reports for various meetings
+ Assist with internal and external events as required
+ Arrange travel and accommodation
+ Upkeep of Travel schedule for W\+UD Team Leaders
+ Monitoring of Industry Events / Business Licences for budgeting purposes for 2016
+ Reconciling expenses and credit cards – as well as assisting with the approval of invoices, timesheets etc
**Preferred Qualifications** Ideally You Will Have:
+ 3\+ years’ experience in an Executive Assistant / administration/ support services role
+ Experience working for a large, multidisciplinary organisation, preferably in the engineering industry
+ Professional attitude and high level of attention to detail – takes responsibility for own tasks and work
+ Highly motivated, enthusiastic and the ability to use initiative – eager to learn and take on new tasks
+ Advanced in MS Office suite including Word, PowerPoint, Excel Outlook and Visio
+ Excellent Client service \(both internal and external\)
+ Patient, collaborative and supportive co\-ordination skills
+ Excellent written and verbal communication skills, including the ability to liaise and consult with staff at all levels within the organisation and a range of external clients
+ Effective time management and excellent organisational skills with the ability to prioritise tasks
