Job Description: AECOM is actively seeking a creative, highly talented Administrative Assistant for immediate employment for the Chattanooga, TN office. AECOM is proud to provide our employees with exciting, challenging projects.
The responsibilities of this position include, but are not limited to, those listed below.
• Quality control of reports of all types. Ensure accuracy to detail with missing/inaccurate information. Candidate will be responsible for document producing, formatting, editing and proofreading
• Provides administrative support to management and technical staff
• Responsible for project correspondence, meeting calendar, telephone screening, and returning some calls
• Coordinates and develops both project and operation reports for distribution
• Enters data in various software programs including MS Office Suite
• Handles project invoicing and other tasks as needed by the Project Managers
• Maintains accurate working files (electronic and hardcopy) as per AECOM and project requirements
• Responsible for ordering and maintaining the inventory of supplies
• Attendance at staff meetings, generation and distribution of meeting minutes
• Orders equipment
• Gives full administrative support to assigned staff, including arranging complex international and domestic travel itineraries
• General administrative and clerical duties including handling phone calls, scheduling meetings, visitors, and liaison with internal and external clients
• Maintains the master subscriptions list for periodicals, newsletters, both print and online
• Troubleshoots immediate IT concerns
• Performs other related projects and duties as requested
• Manages call lists based on e-mails and voice mails
• Helps manage executive inbox by identifying priority requests and responding to issues that are more administrative or require scheduling.
• Performs research related to executive travel briefings, events planning and other matters at the direction of the Executives
• Manage special projects and special events
